On-site scanning, on-device extraction and structured indexing turn filing rooms and data rooms into searchable, governed records. The originals never leave your control.

Organise and clean

We normalise formats, reconcile duplicates, resolve conflicting records and repair the gaps, so one customer, one contract and one asset each read a single consistent way.

Classify and compartmentalise

We tag every record by sensitivity tier and apply permissioning, walling information into who may see it long before any model is allowed near it.

Govern and hand over

We stand up the governed foundation, document its lineage, ownership and retention, and hand you an estate you own. From here you can stop, or move straight into standing up the SIOS on top.

The procedure

How the engagement runs.

Behind the five steps runs a gated engagement. It always opens with the fixed-scope Readiness Assessment, then proceeds through counted, on-site stages, each ending in a deliverable pack and a go or no-go. A client can stop at any gate owning something usable: a score, an estate map, a captured corpus, a classified corpus, or a governed foundation. Every stage runs on the client's own hardware and is sealed to the Open Audit Record.

Gate 1

Survey

The fixed-scope, on-site Readiness Assessment. Stakeholder interviews across the departments that hold data, a walk of the filing rooms, archives and data rooms, and a read of the digital estate, producing a first readiness score on sampled evidence.

Gate 2

Map

Exhaustive discovery across the agreed scope. An on-hardware crawl records what exists, where, in what format, how much, last-touched, apparent owner and duplication; the physical estate is inventoried to the box; systems and data flows are mapped; and a first cut of redundant, obsolete and trivial data is flagged.

Gate 3

Capture

Everything in scope becomes machine-readable in one staging area on the client's hardware. On-site scanning with careful handling for fragile records, OCR and document understanding, digital ingestion, and provenance captured and sealed for every item. Unreadable material goes to a human review queue, never guessed.

Gate 4

Refine

The corpus is cleaned, normalised and de-duplicated, conflicting records reconciled, gaps repaired, then classified by document type and tagged by sensitivity tier, and compartmentalised, so information is walled into who may see it.

Gate 5

Govern

The governed foundation is stood up: lineage, ownership and retention documented, the permission model enforced, the compartments live. The estate becomes something an auditor can inspect and a board can sign off.

Gate 6

Deploy

Optional, and only if the client chooses it. The governed foundation drops straight under the Mickai SIOS. Because both are sovereign and on the client's hardware, there is no data movement at all: the operating system is installed above the estate.

The AI Readiness Score

The spine of the engagement is a single AI Readiness Score, measured at the start on sampled evidence, again on the real cleaned data, and once more at handover, sealed. The client watches the number move across discoverability, digitisation, quality, classification, governance and sovereignty. It gives the programme an objective definition of done.
